Understanding our cancellation and refund procedures

At Vibrant Kashi, we understand that plans can change. This Refund and Cancellation Policy outlines the terms and conditions for canceling bookings and requesting refunds for our services.

1. Package Tours Cancellation

1.1 Cancellation by Customer

30+ days before departure 10% of total cost
15-29 days before departure 25% of total cost
7-14 days before departure 50% of total cost
3-6 days before departure 75% of total cost
Less than 3 days or no-show 100% of total cost (No refund)

1.2 Cancellation by Vibrant Kashi

In the rare event that we need to cancel your tour due to unforeseen circumstances, you will receive:

  • Full refund of all amounts paid, OR
  • Option to reschedule to alternative dates without additional charges, OR
  • Credit voucher valid for 12 months

2. Hotel Bookings Cancellation

Hotel cancellation policies vary by property. The specific cancellation policy will be clearly stated at the time of booking. Generally:

  • Cancellations made 7+ days before check-in: Full refund minus processing fee
  • Cancellations made 3-6 days before check-in: 50% refund
  • Cancellations made less than 3 days or no-show: No refund

3. Transport Services Cancellation

3.1 Cab/Car Rentals

  • Cancellation 24+ hours before pickup: Full refund
  • Cancellation 12-24 hours before pickup: 50% refund
  • Cancellation less than 12 hours or no-show: No refund

3.2 Boat Services

  • Cancellation 48+ hours before service: Full refund
  • Cancellation 24-48 hours before service: 50% refund
  • Cancellation less than 24 hours: No refund

4. Activities & Experiences Cancellation

  • Cancellation 48+ hours before activity: Full refund
  • Cancellation 24-48 hours before activity: 50% refund
  • Cancellation less than 24 hours: No refund

5. Refund Process

5.1 How to Request a Refund

To request a cancellation and refund:

  1. Contact us via email or phone with your booking reference number
  2. Provide the reason for cancellation
  3. We will process your request within 2-3 business days
  4. You will receive a confirmation email with refund details

5.2 Refund Timeline

  • Credit/Debit Card: 7-10 business days
  • Net Banking: 5-7 business days
  • UPI/Wallet: 3-5 business days
  • Bank Transfer: 5-7 business days

5.3 Processing Fees

A processing fee of โ‚น500 or 5% of the booking amount (whichever is lower) may be deducted from refunds to cover administrative costs.

6. Booking Modifications

If you wish to modify your booking instead of canceling:

  • Date changes are subject to availability and may incur additional charges
  • Modification requests must be made at least 7 days before the original booking date
  • A modification fee of โ‚น500 per booking may apply
  • Price differences (if any) will be charged or refunded accordingly

7. Force Majeure

In case of unforeseen circumstances beyond our control (natural disasters, political unrest, pandemics, government restrictions, etc.):

  • We will work with you to reschedule your booking
  • Credit vouchers valid for 18 months may be offered
  • Refunds will be processed as per the circumstances and applicable laws
  • We are not liable for any additional costs incurred due to force majeure events

8. Non-Refundable Items

The following are non-refundable:

  • Special promotional packages marked as "non-refundable"
  • Last-minute bookings (made within 48 hours of service date)
  • Third-party service fees (visa processing, travel insurance, etc.)
  • Services already utilized or partially consumed

9. Partial Cancellations

For group bookings, if some members cancel while others proceed, the cancellation policy will apply only to the canceled portions. The remaining booking may be subject to revised pricing based on the new group size.

  • All cancellation requests must be made in writing (email or through our website)
  • Cancellation charges are calculated from the date we receive your written request
  • Refunds are processed to the original payment method only
  • This policy is subject to change; the version applicable at the time of booking will apply
